2009 Call for Presentation Guidelines
Overview of Cape Cod Symposium on Addictive Disorders Conference Program Planning and Call for Presentation Process
Approximately one year before the conference begins, the CCSAD Executive Committee meets to plan the theme of the conference, provides the overall structure for the program and supports the CCSAD Program Planning Committee throughout the decision-making process. Program Planning Committees are comprised of addiction industry representatives who are experts in their field.
Call For Presentations Process
Call for Presentation Process Opens Presentations will be accepted starting immediately.
Submission Deadline
All presentation proposals for CCSAD 2009 must be submitted by September 30, 2008, via email using CCSAD's criteria in the Proposal Submission Requirements.
Acknowledgement All presentation submissions will be acknowledged via email upon receipt.
Review Period
Proposals will be reviewed by the CCSAD Program Planning Committee in December of 2008. If any reviewers have questions about the proposals, CCSAD staff will contact those who submitted them.
Review Guidelines All proposals received before the deadline will be reviewed according to specific criteria, including:
• Submission of all criteria requested in the Proposal Submission Requirements
• Target Audience
• Relevance to attendees and session topic
• A well-defined topic with focused objectives
• Practical application of material
• Timeliness of topic
• Original material
• Overall perceived level and quality of session content
• Completeness of presentation proposal
• Speaker qualifications, including: previous presentations in topic area, participant evaluations of presenter(s) at previous events (if applicable) and speaking experience of presenter(s)
• Sponsorship availability or cost to CCSAD for the presentation
Sales pitches for products or services disguised as proposals will be eliminated.
Notification
CCSAD staff will notify submitters of the status of their proposal by January 15, 2009. Please note proposals will be held and reviewed during a single session in December of 2008. In some instances, CCSAD may ask companies or organizations to submit a presentation proposal on a specific topic.
Once all sessions have been selected, the CCSAD staff will gather all materials required from speakers (contract, photo, bio, AV needs, sponsorship information, handouts and permission to record, etc.).
On site, all presenters are required to check in at Speaker Registration.

Speaker Obligations
If your presentation is selected you are required to:
• Register at www.ccsad.com as a Speaker/Faculty
• During your presentation, provide educational material ONLY and abide by CCSAD's policies and procedures (i.e. Non-Commercial Policy)
• Submit your photo (300 dpi), bio, presentation, handouts, and AV support requirements by the deadline dates. If you require equipment or services beyond the standard setup provided in each session room, you must get approval and may be charged an additional fee. The standard set-up is: classroom or theater-style seating, LCD projector (which will display your uploaded presentation), screen, podium and microphone, panel table and microphones. You must bring your own laptop
• Submit your handouts to CCSAD 60 days before the conference. Handouts presented by this date will be reproduced and transported to the conference site at CCSAD's expense. CCSAD will not reproduce handouts on-site.
• Allow CCSAD to record your session.
• Check in on-site at Speaker Registration the onsite CCSAD Business Office to ensure that your final presentation is uploaded and displays properly with the AV equipment.
Failure to meet these requirements may result in cancellation of your session or no further invitations to participate.
THE CONFERENCE PROGRAM COMMITTEES RESERVE THE RIGHT TO: • Select any - or none - of the submissions. A proposal may be exceptional, but inconsistent with the goals of the program committee, duplicate another session, be too costly, or prove otherwise not acceptable.
• Change the length of time allotted to the presenter.
• Make decisions based on limited meeting space.
• Contact the applicants before, during and after the judging process for clarification
Conference Theme
The 2009 Symposium Theme is pending the Committee Decision, but any topics in the addictions field are acceptable for consideration.
Proposal Submission Requirements
Proposals will only be accepted via email to Dee McGraw – deemcgraw@ameritech.net. Please include the following information as your proposal. Failure to include all of the 9 items may result in the Planning Committee rejecting the proposal.
1) Target Audience (i.e., physician, counselor, nurse, all, etc) to which the presentation proposal is applicable
2) Presentation Title (10 word maximum)
3) Presentation Objectives (250 word maximum)
4) Presentation Description (250 word maximum)
5) Presentation Length (either 90 minute, half-day, full day breakout session or 90 minute Plenary)
6) Presenter bio (50 word maximum)
7) Contact information
8) Will honorarium be requested or other expenses need to be reimbursed? If so, at what amount? Is there opportunity for sponsorship?
